✅ Helpdesk Guide: Registering for MFA with the Microsoft Authenticator App

Multi-Factor Authentication (MFA) helps protect your Microsoft 365 account by requiring a second form of verification—usually your mobile device—alongside your password.

This guide will walk you through registering for MFA using the Microsoft Authenticator app.

? What You’ll Need

  • A smartphone (iOS or Android)

  • Access to your Microsoft 365 account

  • A few minutes of quiet time to complete setup

? Step 1: Install the Authenticator App

  1. On your phone, go to the App Store (iOS) or Google Play Store (Android).

  2. Search for Microsoft Authenticator.

  3. Download and install the app.

? Step 2: Sign in to Begin Registration

  3. Choose Receive notifications for verification.

  4. Click Set up.

? Step 4: Scan the QR Code

  1. Open the Microsoft Authenticator app on your phone.

  2. Tap the + or Add account.

  3. Choose Work or school account.

  4. Use your phone to scan the QR code shown on your computer screen.

? If you can’t scan the QR code, there’s also a manual code option below the QR box.

✔️ Step 5: Test & Confirm

  1. Once you’ve scanned the QR code, click Next on your computer.

  2. A test notification will be sent to your phone.

  3. Approve the sign-in request on your phone.

? You’re Done!

You should see a confirmation message that MFA is set up successfully.

Going forward, you’ll be prompted to approve sign-ins on your phone via the app.
